Sending Invoices

This guide walks you through downloading auction results from HiBid into AF360, settling bidder accounts, and finalizing your auction.

Step 1: Download Auction Results

  1. Navigate to the Auction Day tab.

  2. Select the Lot Stats tab (next to Registrations).

  3. On the right-hand side, click Batch Clerk.

    • This will download winning bids from HiBid into 360 for auction results.


Step 2: Mark Settlements as Paid

  1. Next to a bidder’s settlement, click View Settlement.

  2. On the right, select Add Receipt.

  3. Choose the bidder’s payment type (e.g., credit card, cash, check).

  4. Review charges, enter the amount paid, then select Pay with Credit Card or the appropriate option.

  5. Save your changes.

When the receipt is added, the settlement balance will update to $0.00.


Step 3: Batch Email or Print Settlements

  1. At the top of the settlements screen, check the box in the header bar to select all bidders.

  2. Uncheck any bidders you do not want to include.

  3. Choose to Batch Print or Batch Email.


Step 4: Add Shipping & Handling Charges

For buyers requiring shipping:

  1. Click View Settlement.

  2. Scroll to the bottom and select Add Buyer Auction Charge.

  3. Under Account, choose Shipping and Handling.

  4. Enter the charge amount and description.

  5. Click Add Charge.

  6. Repeat for all applicable bidders.


Step 5: Run Credit Cards on File Individually

Since cards cannot be batch-run twice, you must process individually if charges (like shipping) are added later.

  1. Click View Settlement.

  2. Select Add Receipt.

  3. Choose Global Payments as the payment type.

  4. (Optional) Add notes such as “S/H Fee.”

  5. Check the box to Email Receipt to Bidder (if desired).

  6. Select Pay with HiBid Credit Card on File.

  7. Confirm that the balance is now $0.00.

  8. Email or print the settlement individually, if needed.


Step 6: Other Payment Methods

If a bidder pays with cash, check, wire, Venmo, or another method:

  1. Add a receipt as above.

  2. Select the appropriate payment type.

  3. Save your changes.
