Use this checklist to guide your first steps and ensure your account is configured properly for success.

Back-office system for managing auctions, inventory, bidders, payments, and reporting.

✅ 1. Company & User Setup

  • Complete your Company Profile

  • Add business logo and branding

  • Add all necessary users

  • Assign roles and permissions for staff

  • Customize notification settings

✅ 2. Auction Defaults & Settings

  • Define default auction type (Live, Online, Simulcast)

  • Set up bidder terms and conditions

  • Create default bid increments

  • Configure soft close rules

  • Customize invoice, catalog, and report templates

✅ 3. Catalog & Inventory Management

  • Add lots manually or use bulk import via spreadsheet

  • Upload images, titles, and descriptions

  • Use AI lotting or Fast Entry tools as needed (Coming soon)

  • Organize lots using categories and keywords

✅ 4. Bidder Management & Check-in

  • Configure bidder registration rules

  • Test check-in workflows for live/online events

  • Scan/test driver's license input if applicable

  • Confirm bidder lists populate correctly

✅ 5. Payments & Invoicing

  • Set up payment processor (e.g., Global Payments)

  • Configure buyer’s premium, taxes, and discounts

  • Test invoice creation and payment collection

  • Set up consignor payouts if needed

✅ 6. Post-Auction Tools

  • Use pick lists and assign warehouse locations

  • Review buyer instructions for pickup or shipping

  • Generate and customize consignor reports

Online auction marketplace where bidders browse and place bids.

✅ 1. Account & Branding

  • Ensure your HiBid seller account is linked to AF360

  • Upload your company logo and banner (HiBid branding)

  • Write a compelling Company Bio/About Us

  • Add custom bidding terms and buyer disclosures

✅ 2. Uploading Your First Auction

  • Push a test auction from AF360 to HiBid

  • Confirm auction details display correctly (title, date, location)

  • Verify photos, lot titles, and descriptions display cleanly

  • Check category mapping to ensure searchability

✅ 3. Bidder Experience & Settings

  • Review the public HiBid auction page

  • Test registration, approval settings, and bidding

  • Ensure bidding permissions and reserves are enforced

  • Set up notifications for bidders (won/lost, invoices, etc.)

✅ 4. Payments & Post-Auction Flow

  • Sync invoicing and payments from HiBid to AF360

  • Ensure payment instructions are visible to bidders

  • Confirm pickup/shipping instructions are posted

  • Respond to any bidder messages via HiBid’s contact form
