Upload Auction to HiBid

Sync your auction and lots to HiBid

Updated over 3 months ago

Overview

Once your auction setup and lot cataloging are complete, you can publish the event to HiBid. This allows bidders to browse, register, and place bids through the HiBid website. The upload process connects your local AF360 system with your online presence on HiBid.

1. Prerequisites Before Uploading

Ensure the following is completed before pushing your auction to HiBid:

  • Auction type, dates, and terms are entered.

  • Lots are cataloged with titles and descriptions.

  • At least one image is added for each published lot (recommended).

  • Internet bidding is enabled for the auction.

Important: You must have a My.HiBid.com account with valid login credentials.

2. Uploading the Auction to HiBid

  1. From the Auction Dashboard in AF360, open the auction you want to publish.

  2. Click HiBid Upload or Upload to HiBid in the toolbar.

  3. Follow the wizard to:

    • Log in to your HiBid account (first-time only).

    • Select the appropriate marketplace (main HiBid site or white label portal).

    • Confirm event details and auction type.

    • Choose whether to upload the auction only or the auction and lots.

  4. Click Upload to begin the sync.

Tip: You can re-upload any changes later — such as updated lot descriptions or image additions.

3. Uploading Lots Separately

If you’ve already uploaded the auction shell, but still need to upload or update lots:

  • Go to the Lots tab within the auction.

  • Click Upload Lots to HiBid.

  • Choose whether to:

    • Upload only new lots.

    • Update all lots.

    • Include image sync (recommended).

4. What’s Synced to HiBid

When uploaded, HiBid receives:

  • Auction details (title, dates, terms, etc.)

  • Lot numbers, titles, descriptions, categories

  • All lot images

  • Bid increments and buyer premium

  • Sales tax, location, and contact info

5. Making Post-Upload Changes

You can make edits after uploading:

  • In AF360: Edit the lot or auction and re-upload the update.

  • In HiBid: Minor changes can be made directly, but they may be overwritten by future AF360 uploads.

Recommendation: Make all changes in AF360 and re-upload to ensure data consistency.

FAQs

Q: What if my auction isn’t showing up on HiBid after upload?
A: Double-check that the auction is set to Published, not Draft. Also confirm the correct HiBid portal was selected.

Q: How long does it take to appear on HiBid?
A: Typically within a few minutes. Large auctions with many images may take longer.

Q: Can I remove an auction from HiBid after upload?
A: Yes. You can unpublish or delete the auction on HiBid, or make it private if changes are still pending.
