Run a PDF Report in AF360 (Auction Summary)

Document reports create a finished PDF for one auction. This article uses Auction Summary as the example.

Create the PDF

  1. Open the report in one of two ways:

    • In the Reporting portal sidebar, click Documents (or the Documents tab in the Reports Library), then click the Auction Summary card.

    • Or, on the Dashboard, click the Auction Summary card under Featured Reports.

  2. A window titled Auction Summary opens with a single Auctions dropdown.

  3. Click the dropdown and start typing the auction name to filter the list. Then click your auction.

  4. Click Create. Create stays grayed out until you pick an auction. Click Cancel to back out.

  5. The button changes to Generating.... After a few seconds, the PDF downloads to your computer.

Find your file

The file is named with today's date and the report name, like this: YYYY-MM-DD_auction-summary.pdf. Look for it in your browser's downloads.

Document report PDFs go straight to your computer. They do not appear on the Downloads page in the Reporting portal. See Find Your Report Downloads in AF360.

For Document reports, the PDF is the only output. There is no on-screen table to filter.

What is in the Auction Summary PDF

  • Header: your organization name, address, and phone, plus the auction name and date range.

  • Overview: Lots Sold, Average Sales Price, Net Income, Registered Bidders, and Winning Bidders. A Lots donut chart sits next to it.

  • Buyer Invoice Breakdown: Hammer Value for sold lots and for buy-back lots, Total Hammer Value, Tax, Fees, Buyer's Premium, and Total.

  • Totals: Gross Revenue, Owed to Sellers, Net Revenue, Auction Expenses, Auction Marketing Expenses, Salesperson Commission, Tax, and Net Income.

  • Buyer Payments: a summary of payments received from buyers.

  • Footer: the page number and a timestamp.

Auctions with more activity can produce a longer PDF.

The other Document reports

Auction Catalog, Consignor Auction Overview, Consignor Settlement Totals, and Lot Labels: Avery 5160 work the same way: pick one auction, click Create, and the PDF downloads.

Tip: Printing lot labels? Run Lot Labels: Avery 5160 and print the PDF on Avery 5160 label sheets.
