On the right side of the screen for the item list and each tool in the workspace is the Details Column.
By selecting an item, the Details Column is populated and the selection menu will popup. (You can learn more about the selection menu here: Using the Items List & Selection Menu)
From this column, you can edit items as needed, adding detailed information and assets, viewing activity logs to know when an item was updated and when, and creating notes for both external and internal use.
Details Tab
The Details Tab gives important information for the item, allowing you to set prices, starting bid, and more. Further, the “Title” and “Description” are what will appear in any lots generated from this item on HiBid.
At the top of the tab are four buttons:
AI Tools: Discussed below, this allows AI to help you write the title and description.
Copy: Creates a duplicate of the lot.
Delete: Deletes the lot and removes it from the manifest.
Go to Details: Opens the Details Column in full screen.
Minimize Pane: Minimizes the column for more space.
AI Tools
Our AI tools can help edit and optimize the information on your items, but work best when you’re following these best practices:
Adding a title and description gives the AI specifics to work off of, even if you only give it high level details.
Adding at least 4 images of the item is the optimal amount of visual information for the AI to determine what the item is.
Once the AI has some information to use, the AI Button will appear. Click it to rewrite the “Title” and “Description” in the Details page.
Once the AI loads the suggestion, it will show up like below:
The AI will give you what facts it can find about the item, but we leave it to you, the seller, to approve, decline, or modify the output to your liking. If it’s close, but not quite perfect, you can approve it then edit it yourself, or you can reject it and try again (as shown below), either letting the AI try again with the existing information or by adding more information to the description and title.
To approve the AI suggestion, click the Checkmark, or click the X to reject it. You can individually approve/reject each suggestion, or you can approve/reject all suggestions from the original AI button.
Accounting Tab
Accounting is the math behind the item, and that math is powered by formulas. How much is your commission? What is the tax status and rate of this item if different than your event default? Accounting centralizes this information, making it easy to automate your finances.
To begin, click Accounting in the item menu or details column.
From here, you can assign any existing formulas to the item, this will then apply the formulas to all lots created from this item.
Assets Tab
Typically, it’s easiest to add media assets to an item through the Media Gallery, as discussed here: The Media Gallery
However, you can add assets from the Assets tab in the Details Column as well. An Asset is a media object, such as an image or video link, that enhances the text, title, and/or description.
To add assets, click the Assets button in the details column.
2. Click Upload Assets.
3. Select the file you want to upload and select Open.
4. The file is then added as an asset to the item.
Adding Links
Click Add Link.
2. Enter the URL into the URL text box and any description you’d like to add, then click Save.
3. The link is now added.
Lots Tab & Assigning Lots
There are two ways to create lots from items and assign them to an auction: from the selection menu and from the Details column.
Assigning from the Selection Menu
With the item selected, click Assign to Auction.
2. Use the Select Auction search box to find the auction you want to assign the item to.
3. Click the Quantity box and select either:
Use One: creates a lot using only one of the total Item Quantity.
Use All Available: creates lots for every item in the Item Quantity.
4. Next, select either:
Use Next Lot #: assigns the next available lot number to the created lot(s).
Start at Lot #: allows you to set the initial lot number, which subsequent lot numbers of the same batch will follow after.
5. Click Add Items.
6. The lots have now been created and assigned and can be further edited in the Lot Workspace.
Assigning from the Details Column
From the Details column, click Lots.
2. Click New Lot in the upper right corner.
3. Click Auction in the “New Lot” pop up, you can search for the auction you want and click it in the drop down.
4. Enter the number of items in this lot in the Quantity text box.
5. Next, enter the associated lot number in the Lot Number field, then click Create.
6. The lot will then appear in the list.
Activity Tab
The Activity page will show the actions taken on the item within the workspace, such as who assigned assets and when or when the item was used to create a lot. To get check this, click Activity.
Notes Tab
The Notes Tab allows you to create notes for internal use.
To begin, click Notes.
2. Type your note into the Note text box.
3. Click Add Note.
4. The note will be added to the note list.
