The Item Workspace: Item Types

An Item Type is a specialized tag that let’s you better organize your items into set categories such as coins, jewelry, firearms, etc.

As an example, let’s say you’re an auction house focused on vehicles and a truck has been consigned to you.

You can use the default Item Type “Vehicle” as a template to capture important information about the truck, such as VIN, year, make, model, etc. This tags that item with that information, which can either be set to show exclusively internally or to populate the description of any lot made from that item.

Further, let’s say you’ve gone into that default “Vehicle” Item Type and found that it just isn’t quite right. It’s missing important information fields, or maybe there’s too many. In that instance, you can create custom Item Types, tailoring them exactly to your organization’s needs.

Navigating Item Types

You can see the option in the Details Column when selecting an item in other pages in the Items Workspace as shown below:

Selecting an Item Type allows you to filter for it in the filter menu of the list columns for each given page.

Creating a New Item Type

  1. To begin, click Create Item Type in the upper right corner.

2. Filling in the “Name” text box is required, but the “Description” and any added fields are not required. Fill in what information you feel is necessary and click Save.

3. The Item Type is now created.

Adding Fields

Fields allow you to customize your Item Types further with labels, drop downs, check boxes, and more.

  1. To begin, click Add Field.

2. Select whether the field is Public or Internal:

  • Public: Bidder facing

  • Internal: Only users in the organization can see

3. Next, select the Format. Changing the format will grant further options for customization.

Format Options

  • Text: This adds a text label to the Item Type by typing in the “Field Label” text box.

  • Number: This let’s you add a minimum and maximum number to the field, as well as a label.

  • Dropdown: This creates a dropdown menu associated with the field label; you can add more dropdown options by clicking the + button.

  • Date: This adds a set date by filling in the “Field Label” text box.

  • Checkbox: This adds a checkbox based on the “Field Label” text box that can be checked and unchecked.

Deleting Fields

You can delete fields by clicking the Delete button.

Duplicating Fields

You can duplicate fields by clicking the Duplicate button.

Creating Item Types from Premade Templates

  1. Select one of the System Item Types on the front page.

2. Click Duplicate Item.

3. Update the duplicate as if you were creating a new Item Type, then click Save.

The duplicated Item Type is now created and can be edited, as shown below.

Editing an Existing Item Type

  1. Scroll down to Custom Item Types and click the Item Type you want to edit.

2. You will only be able to edit the “Name”, “Description”, and “Field Labels”. You can also add new fields. Once you are finished updating the Item Type, click Save.

Duplicating Existing Item Type

Click the Ellipses (…) on the Item Type you want to duplicate and select Duplicate.

The Item Type is now duplicated.

Archiving an Item Type

Click the Ellipses (…) on the Item Type you want to archive and select Archive.

The Item Type can now be found under Archived Item Types at the bottom of the front page.

Unarchiving an Archived Item Type

Click the Ellipses (…) on the archived Item Type you want to unarchive and select Unarchive.
