Collecting a Card Present Payment
Use this guide to collect payment from a buyer in person, using a card terminal in Auction Flex 360. This process supports tap, swipe, chip, Apple Pay, and Google Pay.
Note: If your auction has online bidding, all lots must be clerked before you can process a Card Present payment.
Steps
Go to the Settlement section in Auction Flex 360 and locate the settlement for the buyer you're checking out.
Click View Settlement on the right-hand side. At the top of the settlement screen, select Card Present.
A Card Present Transaction pop-up shows the total amount due, including any applicable surcharges. Confirm the total with the buyer, then click Agree.
The screen shows a blue banner reading "Complete the transaction on your terminal device" while the transaction is sent to the terminal. Don't close this window.
The exact amount due appears on the terminal. The buyer can pay by tap, swipe, chip/insert, Apple Pay, or Google Pay.
Once the terminal completes the transaction, Auction Flex 360 automatically updates the buyer's settlement to Paid in Full — no further action needed.
Tip: Print a Credit Card Transaction Receipt for your records (scroll down, click the printer icon), have the buyer sign it, and keep it on file for at least 120 days in case of a chargeback dispute.
