Welcome to the New Cataloging Experience
The New Cataloging Experience is a ground-up rebuild of how you enter, organize, and manage inventory in Auction Flex 360 — paired with the new Auction Flex Cataloging mobile app so your team can catalog from anywhere. If you just heard the announcement and you're asking "What is this, and where do I start?" — you're in the right place. This page walks you through everything in the order we recommend learning it.
What is it?
The new experience introduces true inventory management to AF360. The biggest shift: Items now exist independently of auctions, while Lots remain the event tags that place those items into a specific sale. Around that foundation, you get two dedicated workspaces (the Lot Workspace and the Item Workspace), multiple fast entry modes, configurable Item Types with custom fields, AI-powered cataloging assistance, powerful bulk editing tools, and a mobile companion app that keeps your cataloging in sync with the web.
What's included
The Lot Workspace — catalog and manage your auction's inventory, add and edit lots, and set up the presentation of your sales.
The Item Workspace — manage the whole of your inventory across all auctions, and create lots from items with automated tools.
Multiple entry modes — Fast Entry, Scan Mode, the Media Gallery, and Import, each designed to tackle adding inventory differently.
Item Types with custom fields — structure your inventory data your way.
The Auction Flex Cataloging mobile app — catalog with your phone's camera on the floor, in the warehouse, or on-site, and stay in sync with AF360.
How this makes your life better
Less time typing, more time selling. Items you catalog once can be reused and moved between auctions instead of re-entered. Purpose-built entry modes mean you pick the fastest workflow for the job at hand — camera-first on mobile, keyboard-first with Fast Entry, barcode-driven with Scan Mode. Bulk tools and the Details Column let you clean up hundreds of records in the time it used to take to fix a handful. And because the mobile app syncs with the web, your whole team can catalog in parallel.
Your step-by-step path
Work through these in order. Each step links to the articles that cover it in detail.
Step 1: See what's new
Start with a tour of the release — features, images, and videos — so you know what's changed at a glance.
Step 2: Get oriented in the two workspaces
Understand the difference between Lots (event tags within an auction) and Items (your real-life inventory), and learn your way around each workspace.
Step 3: Set up your Item Types
Before you start entering inventory in bulk, configure Item Types and custom fields so your data lands in the right structure from day one.
Step 4: Add your inventory
Pick the entry mode that fits your workflow — experiment and find what works best for you. Each tool exists in both workspaces.
Step 5: Manage and refine your records
Master the Lists, the Selection Menu, and the Details Column — the heart of organization in both workspaces — to select, edit, and clean up records quickly.
Step 6: Build and present your sale
With your inventory in place, use the Sale Manager to control the order of lots in your auction and polish the presentation of your sale.
Step 7: Take it mobile with the Auction Flex Cataloging app
Install the mobile companion app and set up a cataloging session so you and your team can catalog with the camera, anywhere — and everything syncs back to AF360.
