Using the Auction Flex Cataloguing App

The Auction Flex Cataloguing app lets you catalog auction inventory right from your phone. Snap photos, scan barcodes, and enter item details on the go — everything syncs automatically to your Auction Flex 360 account.

The app is currently available for Android by private request only. Contact our team to request access before you can download and use it.

What You Need

  • An active Auction Flex 360 account (use the same email and password you already use to log in to AF360)

  • An Android device with a camera

  • Access granted by our team (see "Requesting Access" below)

  • An internet connection to log in (the app keeps working offline after that)

Requesting Access

Auction Flex Cataloguing is in a private release for Android. Contact our team to request early access.

Getting Started

  1. Open the app and tap Get Started on the welcome screen

  2. Enter your Login ID (your email address) and Password — the same credentials you use for Auction Flex 360.

  3. Tap Login.

  4. Allow notifications and camera access when prompted. Notifications let you know when your items finish uploading, and camera access is required for cataloging.

If you don't see the login screen or your credentials aren't working, confirm you're using your Auction Flex 360 login. Contact your organization's administrator if you don't have one yet.

Tip: Check Remember Me on the login screen to stay signed in between sessions.

If your account has access to more than one organization, you'll see an organization picker after you log in. Tap the organization you want to work in. You can switch organizations later — see "Switching Organizations" below.

The Dashboard

After logging in, you'll land on the Dashboard, your home base for cataloging. From here you can:

  • Capture — Open the camera to start photographing items

  • Scan Barcode — Open the barcode scanner to catalog items by scanning

  • Add New — Create a new item by entering details first

A banner near the top shows your upload status, and a Recent Activity section lists your completed cataloging sessions. Use the bottom navigation bar to jump between Home, Capture, and Items at any time.

Setting Up a Cataloging Session

Before you start capturing, tell the app where your items should go:

  1. Tap Capture, Scan Barcode, or Add New from the Dashboard.

  2. Under Select Auction, choose the auction to assign items to — or choose None to catalog items now and assign them to an auction later.

  3. Choose how lot numbers are assigned:

    • Auto-Increment (recommended) — the app assigns the next available lot number automatically.

    • Starting Lot Number — enter a specific number to begin from; the app increments from there.

  4. Select an Item Type and a Source (the consignor the items belong to). Use House Seller if your auction house owns the items directly.

  5. Check Remember This Cataloging Setup if you want the app to reuse these settings next time.

  6. Tap Apply & Start Cataloging to open the camera.

Note: Auto-increment assigns whole numbers only. If you need sublots (like 7A or 7B), add them manually by editing the lot number on the item detail screen after capturing.

Cataloging with the Camera

  1. Point your device at the item and tap the shutter button to take a photo. Take as many photos as you need for the item.

  2. Tap Next to save the item and move to the next lot.

  3. Tap the lot number shown on the auction info card if you need to change it manually.

  4. Tap the thumbnail next to the shutter button to review or edit the most recently captured item.

Tip: Tap the grid icon in the toolbar to turn on a rule-of-thirds overlay for better framing, and use the flash icon to toggle your camera flash.

Cataloging with Details First

Prefer to enter item information before taking photos? Tap Add New from the Dashboard instead of Capture. This opens a blank item form where you can enter:

  • Lot Number, Title (50 characters max), and Description

  • Item Type, Source, Quantity, and Unit

Choosing an item type may reveal extra fields your organization has set up (like dimensions or condition grade). Once you're ready, go to the Assets tab and tap Add Photos to take new photos or choose existing ones from your device's gallery. Tap Save when you're finished — the item syncs automatically.

Scanning Barcodes

Barcode scanning looks up product information — and sometimes stock images — for you automatically.

  1. From the Dashboard, tap Scan Barcode, or tap the BARCODE tab on the camera screen.

  2. Position the barcode inside the on-screen scan frame. In Auto mode the app scans as soon as a barcode appears; in Manual mode, tap the shutter button to scan.

  3. If a match is found, the app fills in the title, description, and any available stock images. Tap Accept to save as-is, or Accept & Modify to review and edit before saving.

  4. If no match is found, you can still enter details and take your own photos manually.

Note: Barcode lookups require an internet connection, since the app searches an online product database. Scanning itself works, but results won't come back until you're online.

You can also combine a barcode scan with your own photos of the item: scan the barcode, review the results, then switch to PHOTO mode and take additional pictures before tapping Next.

Editing Items and Managing Photos

Open any item by tapping its thumbnail or selecting it from your items list. Each item has four tabs:

  • Overview — photos, lot number, title, and description

  • Assets — add, reorder, or delete photos (drag an item's handle to reorder; the first photo becomes its cover image)

  • Details — item type, source, quantity, and unit, plus any custom fields your organization has configured

  • Activity — item history and sync status

Tap Save after making changes. Items you've cataloged stay available on your device for 7 days after syncing, then are cleared automatically to free up space — they remain safe in Auction Flex 360 the whole time.

Syncing and Working Offline

Everything you catalog is saved to your device first, then uploaded to Auction Flex 360 automatically in the background — there's no separate "sync" button to tap.

The app is built to work without an internet connection:

  • Works offline: taking photos, creating and editing items, scanning barcodes (lookup results require a connection), and navigating the app.

  • Requires a connection: logging in, loading your auctions/sources/item types for the first time, uploading items and photos, and barcode lookups.

If you lose your connection while cataloging, keep going — your items are saved locally and will upload automatically once you're back online.

Troubleshooting

Items aren't showing up in Auction Flex 360

Check your internet connection and confirm you're logged into the correct organization. Open your items list to see if anything is still marked as pending upload.

Lot number conflicts

If a lot number you assigned is already in use, the item is still created, but you may need to update its lot number in Auction Flex 360.

Camera isn't working

Make sure camera permissions are turned on in your device settings, then try closing and reopening the app.

App feels slow

If you have a large batch of items waiting to upload, give the app a moment to finish. Restarting the app can also help.

Still stuck?

Go to Settings > Reset Local Data to clear cached data on the app — this won't affect items you've already synced to Auction Flex 360.

Switching Organizations

If you work with more than one organization in Auction Flex 360, you can switch between them:

  1. Tap the Settings (gear) icon on the Dashboard.

  2. Tap Logout.

  3. Log back in — you'll be prompted to choose an organization again.

Items always stay tied to the organization you were logged into when you captured them, so switching organizations won't move or delete anything.

Tips for Best Results

  • Use natural light when possible, and avoid harsh shadows.

  • Take 2-3 photos per item (front, back, and any notable details) — the first photo becomes the cover image in Auction Flex 360.

  • Turn on Remember This Cataloging Setup when cataloging a batch of items for the same auction, so you can skip setup next time.

  • Add a short title to each item as you go — it's much easier than renaming everything later.

  • Log in while you still have a connection, then catalog freely — your items will sync once you're back online
