Clerking a Pre-Cataloged Sale

This section applies to live auctions where lots are created in advance — in other words, where the auction is pre-cataloged.


Step 1: Access the Clerking Grid

  1. Go to the Auction Day tab.

  2. Select Clerking from the menu.


Step 2: Enter Lot Information (If Applicable)

Since the auction is pre-cataloged, you’ll only need to manually enter the following fields:

  • Hammer Price – Input the final bid amount.

  • Bid Card Number – Record the bidder’s number.


Clerking on the Fly

This section applies to live auctions where lots are not created in advance — in other words, where the auction is not pre-cataloged.


Step 1: Access the Clerking Grid

  1. Go to the Auction Day tab.

  2. Select Clerking from the menu.


Step 2: Enter Lot Information Manually

Since the auction is not pre-cataloged, you’ll need to enter each lot’s details manually.

Fill in the following fields:

  • Lot Number – Assign a unique identifier for the item.

  • Consignor – Enter the consignor’s name or ID.

  • Lot Title – Provide a short description of the item.

  • Hammer Price – Input the final bid amount.

  • Bid Card Number – Record the bidder’s number.


Step 3: Save the Entry

Once you’ve entered all necessary details, save the clerking activity to record the sale.

Note: Grouping or splitting lots while clerking is only available for pre-cataloged lots.
This feature does not work when clerking on the fly.


Quick Tips and Hotkeys in AuctionFlex 360

Hotkeys make clerking faster and more efficient. Here’s a quick reference:


Navigation & Actions

  • Tab – Move to the next field in the clerking grid.

  • Lot#+ – Duplicate the selected lot (creates a new lot with the same details).


Grouping Lots While Clerking

If you are working with pre-cataloged lots, you can group them using these symbols:

  • Comma (,) – Group non-sequential lots.

    • Example: 1,3,5 groups lots 1, 3, and 5 together.

  • Dash (-) – Group a range of lots.

    • Example: 1-5 groups lots 1 through 5 as a single lot.


Tip

If you frequently clerk on the fly, consider preparing a quick-reference list of consignors and bidder numbers to speed up entry during live auctions.
