Canceling an Online Auction

If you need to cancel an entire online auction — not just remove a few lots — follow these steps in order.

  1. Hide the auction on My.HiBid. Log into My.HiBid, open the auction, and click the red Hide button on the auction's title bar. The title bar will show a red "Hidden" flag and the button changes to a green Show Auction button, confirming bidders can no longer see the auction.

  2. Notify your registered bidders. Still in My.HiBid, go to the Registrations tab for the auction and click Email All. You don't need to enter any addresses — it goes automatically to everyone registered. Fill in a subject and message explaining the cancellation, then click Send.

  3. Update the auction title in your Auction Flex software (AF360 or Legacy). Change the title to something like "CANCELED AUCTION" and consider removing the auction description.

  4. Adjust the closing date to today, so the auction archives at midnight.

  5. Re-upload the auction to HiBid. It will stay hidden from Step 1.

  6. Email billing. Send your auction ID, link, or auction dates, plus the reason for cancellation, to [email protected] so fees are removed correctly.

Note: Unique bid fees and the 2% gross merchandise fee are waived for a canceled auction. Any credit card authentication fees already incurred still apply.
